Perivane Privacy Policy

Perivane is a service of Indie Pen Press LLC ("Indie Pen Press," "we," "us"), Gig Harbor, Washington, USA, operating at perivane.com. This policy explains what personal information we collect, how we use and protect it, who we share it with, how long we keep it, and the choices and rights you have.

1. What this covers
This policy covers information collected through perivane.com and the Perivane service: the intake form, payment, manuscript processing, and delivery of your reports. It applies to authors and publishers who submit work to Perivane.
2. Information we collect
You provide it: - Identity and contact: first name, last name, email address, and country (country is used to determine which privacy laws apply to you). - Book information: title, subtitle, author name, publisher, book type, audience, author bio, positioning categories, distribution channels, and edition identifiers (ASIN, ISBN, list price) where you supply them. - Your manuscript file and, optionally, a cover image. - Consent records: whether and when you agreed to these terms, and whether you opted in to marketing.
Collected through payment (via Stripe): - We use Stripe to process payments. We never receive or store your full card number. We store only the Stripe payment identifier, the amount paid, the currency, any coupon used, and the payment status. Your billing country from Stripe is recorded to determine applicable law and tax.
Generated by the service: - A classification of your manuscript (subject area, structure, and a content-eligibility check), retained for audit because some subjects are regulated. - The reports we produce for you, and internal processing cost and timing records.
We do not knowingly collect special-category (sensitive) personal data. Please do not include such data in fields where it is not required.
3. How we use your information
- To provide the service: read your manuscript and produce the cited reports you ordered, then deliver them to you.
- To communicate about your order: confirmation, delivery, support, and any issue with your submission or payment. These are transactional messages and are sent whether or not you opt in to marketing.
- To operate and improve the service: troubleshooting, fraud and abuse prevention, accounting, and internal analytics on order volume, cost, and margin (this analytics uses your order records, not your manuscript).
- For loyalty and repeat-customer recognition: we keep a record of your past orders so we can recognize returning customers and apply any loyalty benefit.
- For marketing, only if you opt in: if you check the marketing box at payment, we may send you tips, offers, and updates. You can withdraw this at any time (see Section 8).
4. Legal bases (for individuals in the EU, EEA, and UK)
- Performance of a contract: to provide the reports you paid for and to communicate about your order.
- Consent: for marketing communications (which you may withdraw at any time).
- Legitimate interests: service security, fraud prevention, and internal analytics, balanced against your rights.
- Legal obligation: retaining payment and tax records.
5. Service providers and subprocessors
We share data only as needed to run the service, with providers bound to protect it:
- Anthropic (Claude API): your manuscript is sent to Anthropic to be analyzed. Under Anthropic's commercial terms, Anthropic does not use your manuscript or the outputs to train its models, and API inputs and outputs are retained by Anthropic for a short period (currently up to 7 days) for abuse monitoring and then deleted. Content flagged for policy violations may be held longer. See Anthropic's data terms for current details.
- Canopy and Keepa: receive only book metadata (titles, ASINs, category identifiers) to gather Amazon market data. They do not receive your manuscript.
- Stripe: payment processing (see Section 2).
- SendLayer: delivery of transactional email on our behalf.
- Backblaze B2: encrypted backup of our systems.
We do not sell your personal information.
6. How long we keep your data

Early deletion on request: you may ask us to delete your data before these periods end (see Section 8). We will delete your manuscript, reports, classification records, and contact details. We retain payment records where the law requires, reduced to what is legally necessary. Note that once your reports are deleted we can no longer re-send them.
7. International data transfers
We operate in the United States, and our service providers (including Anthropic, Stripe, SendLayer) process data in the United States and other countries. If you are in the EU, EEA, or UK, your data is transferred to the United States under appropriate safeguards. Where required, we will put a Data Processing Addendum in place with our processors.
8. Your rights and choices
Depending on where you live, you may have the right to: - Access the personal data we hold about you. - Correct inaccurate data. - Delete your data ("right to erasure"), subject to legal retention of payment records. - Receive a copy of your data in a portable form. - Withdraw marketing consent or unsubscribe at any time (every marketing email has an unsubscribe link; transactional emails continue regardless). - Object to or restrict certain processing.
To exercise any of these, email info@indiepenpress.com with your request. We will verify your identity (typically via the email address on your order) and respond within the timeframe required by applicable law.
9. Data security
We use access controls, encrypted backups, tokenized payment handling (no card data stored), and short retention windows to limit exposure. Download links are tokenized and time-limited. No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.
10. Children
Perivane is not directed to children and is intended for users 18 and older. We do not knowingly collect data from children.
11. Changes to this policy
We may update this policy as the service evolves. We will post the revised version here with a new "Last updated" date, and for material changes we will take reasonable steps to notify affected customers.
